Features That Your Project Management Software Must Have
Project management is a complex task. It has a series of events and activities which have to be completed within a specific time period by a specific number of people. Resource allocation is a major consideration while carrying out a task to completion. Such complex projects need organization and scheduling. This should be done by the project manager before starting the project. It is a long drawn out procedure and demands constant changes. To overcome such complexities companies today are using Project Management software. The time factor in any project is important and to keep a track of time schedules, companies use Time Management software.
The first step to successfully complete a project is to plan it properly. A project planner is an important feature of any Project Management software. This feature has a list of the tasks to be performed, when they should start, and when they should finish. You can baseline your projects with this planner. With a project planner you can assign tasks to the right people, allocate resources, track the progress and add your notes when required.
Another feature to be expected in the Project Management software is to have a graph showing the status of your project. You would be able to view how each section is progressing and take action on those activities which are facing problems.
Another issue is the tracking of expenses. This feature is a must in any good Project Management software. Expense information is entered into the system regarding people, equipment, materials, office expense, etc. You can then track these expenses on the relevant reports or graphs in the software.
There are risks and changes involved in any project. Your Project Management software should be able to highlight such areas for quick action. In most software packages you should be able to create a project report for your customers where you can show the progress of the project by compiling all the facts and present them in an organized manner.
Time management is extremely important as no project can go on for indefinite time and falling behind may result into the cancellation of a project. One of the features Time Management software should have is a to-do list. This should separate your task at hand from the entire project timing. With this you will be able to concentrate more on the immediate tasks.
Another Time Management software feature is to have a list of your important meetings with time and date and your upcoming deadlines. You should be able to plan weekly or daily if you wish to do so. Your software should have features to make changes as you proceed.
Many Time Management software packages have features of awarding time to new projects along with an ongoing project. With the software you should be able to allocate time, resources and people to the new task without neglecting the former. It also filters your information and comes up with the data that you need. Time Management software is mostly a part of Project Management software. But you can have completely separate Time Management software to manage your project time.
